ADMINISTRATIVE COORDINATOR
ADMINISTRATIVE COORDINATOR
- Assist Camp Directors with day-to-day administrative functions
- Liaison to Arizona State University
- Help coordinate registration and departure of campers
- Coordinates all staff arrival and departure
- Creates an organized log of all staff arrival and departure information
- Coordinates meals for staff during staff training
- Oversees transportation for campers that must leave campus during camp
- Plans afternoon activities for campers involving sports, arts, dance, etc.
- Brainstorms new and exciting activities to bring to camp
- Trains and supervises counselors in the execution of all activities
- Oversees camper sign-ups for activities
- Sets up equipment for the activities each day
- Maintains organized inventory of all equipment
- Develops and coordinates 6 new and innovative craft activities
- Provides instruction to the counselors on how each craft is done
- Supervises afternoon program counselors in execution of arts and crafts
- Must have certified experience/training in challenge course facilitation
- Trains the facilitators on how to run team-building and challenge activities
- Supervises a team of facilitators who lead the daily activities
- Brainstorms new team-building and challenge activities to bring to camp
- Creates and executes a college resource fair for campers
- Finds scholarship opportunities and creates individualized plans for campers to follow through after camp
- Works with morning program coordinator to create additional opportunities for juniors and seniors to access college application information
- Creates digital diagram that breaks down all college majors within their categories
- Lives with/cares for 6-10 campers (ages 13-18) to ensure well-being and safety
- Embodies the roles of big brother/sister, teacher, coach, friend, and mentor
- Encourages the personal and educational growth of the campers
- Serves on either Morning, Afternoon, or Challenge Course program staff and works daily under the supervision of the respective program coordinator
- Develops and organizes seven fun evening activities for each night of camp
- Instructs counselors on how to implement the activities for each night
- Places orders for equipment needed for each evening program before camp
- Ensures evening programs are 100% inclusive of all campers
- Oversees Gimme Shop and Camp Store daily
- Orders and maintains inventory of snack items
- Set up and clean up Gimme Shop on a daily basis
- Helps organize and deliver Evening Program snacks
- Helps with birthdays of campers and staff
- Supervising campers during Gimme Shop
- Responsible for planning components of Staff Training Week and ongoing counselor education throughout the camping session
- Handle camper issues brought by counselors and supervise counselors and campers throughout the day
- Nightly check-ins with counselors and staff members
- Help plan and organize staff debrief
- Offer insightful feedback to counselors
- Maintains and organizes operation of the Medical Center
- Manages medication disbursement for campers
- Cares for campers in the event of injury
- Organizes inventory of medical supplies and camper medical documentation
- Must be a registered medical professional to apply*
- Works with morning program counselors to plan and execute the STEAM, career, and college preparatory lessons each morning
- Collects printed materials ahead of camp - ie lesson plans, handouts, etc.
- Trains counselors on effective teaching techniques
- Helps organize a rotation schedule for campers to switch from activity to activity
- Maintains and orders inventory of supplies needed for each activity
- Supervises counselors in the execution of the morning program
- Captures, edits, and posts pictures on the camp website each day
- Orders and distributes cabin photos
- Coordinates with media team to ensure maximum coverage
- Photographs senior campers’ headshots
- Oversees all programs
- Orders and maintains inventory of all program supplies
- Helps schedule and plan training opportunities for program coordinators during staff training for counselors
- Leads regular program coordinator meetings
- Posts content on the Camp Catanese Facebook, Instagram, TikTok, and YouTube
- Writes staff bios to be posted on social media to create hype for camp
- Updates and improves all camp social media platforms throughout the year
- Must be willing to stay up to date with the camp social media platforms year round
- Build the following of the Camp Facebook, Instagram, TikTok, and YouTube
- Helps with the graduation program
- Maintains the website
- Films and edits highlights of the camp experience
- Creates nostalgic camp video to be viewed on the final night of camp
- Edits and creates promotional videos for the Camp Catanese Foundation to be used for year round purposes
- Works with the camp videographer to film and edit the camp video
- Helps create a volunteer schedule where volunteers help run Gimme Shop, Camp Store, and set up and clean up of programs daily
- Helps organize volunteer drivers for miscellaneous errands
- Supervises volunteer staff throughout the week
- Helps with delegation of supervision of campers throughout Morning Program
- Helps run the daily Gimme Shop during Staff Meeting
- Helps with the transportation of campers to summer school or mandatory programs
- Assists program coordinators with set up or break down of daily activities
- Does whatever is necessary to ensure camp runs smoothly
